About the Position - Responsibilities & Duties
We are seeking candidates for the position of Operations & Maintenance Administrative Assistant in our Bala Cynwyd, PA (Philadelphia area) office. The Operations & Maintenance Administrative Assistant will provide administrative and logistical support to Waga Energy’s US Operations & Maintenance (O&M) team including WAGABOX® operators located on sites across the US.
Principal accountabilities include, but will not be limited to:
- Providing administrative support to O&M team members, including calendar management, meeting scheduling and document preparation.
- Coordinating travel arrangements for O&M team members, including flights, hotels, rental cars, etc.
- Supporting scheduling of preventative and corrective maintenance activities across all US WAGABOX® units.
- Assisting with tracking and organizing of operator certifications, safety trainings, and related regulatory compliance activities.
- Assisting with the maintenance of accurate records in the Computerized Maintenance Management System (CMMS), including work orders, inventory logs, and maintenance history.
- Assisting with the preparation of departmental reports, presentations, and key performance indicator (KPI) tracking.
- Providing logistical and administrative support for site commissioning, shutdowns, and annual maintenance planning.
- Acting as a liaison between the O&M team, suppliers, vendors, and internal departments.
- Contributing to the development and continuous improvement of administrative procedures and tools used by the O&M team.
About You - Qualifications & Skills
The ideal candidate is an organized, detail oriented, self-motivated professional with:
- A bachelor’s degree in business administration, operations management, or a related discipline. Additional years of experience will be considered in lieu of formal education.
- A minimum of 3 years of administrative experience, preferably in operations, maintenance, energy, or engineering environments.
- Excellent written and verbal communication skills and the ability to effectively build and maintain coworker, vendor and external partner relationships are critically important for success in this role.
- Strong organizational and time management skills.
- Experience coordinating complex travel and scheduling logistics.
- Advanced proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience with Computerized Maintenance Management Systems (CMMS) is preferred but not required.
